Generate a profit & loss view

Revenue alone does not tell you what the route earned. A profit & loss view brings recorded revenue and the costs of producing it together for one period. Use it as an operating review, and have your accountant confirm the treatment used for formal accounts.

Before you begin

  • A consistent period and accounting basis.
  • Revenue, location commissions, prize and supply costs, and operating expenses.

Step by step

  1. Set the period

Choose one month, quarter, or year. Keep the basis consistent: collection dates and sales dates are not always the same. Do not combine both views without reconciling the timing.

  2. Reconcile the revenue

Review cash collected and recorded card or credit revenue. Avoid counting payment settlements again if the underlying sales are already included. Investigate missing and duplicated entries.

  3. Complete the cost picture

Bring together commissions, prizes used, payment fees, service costs, route labor, and other business expenses. Costs not captured in SmartClaw must be included from your other records.

  4. Create the P&L

Use a P&L report if your app version provides it. Otherwise export the relevant revenue and commission reports and combine them with expenses in your accounting system. Keep this distinction visible when sharing the result.

  5. Review the result

Compare revenue and costs with the prior period. Explain changes in prize cost, commissions, labor, and repairs before treating the difference as sustainable profit.

  6. Save the supporting detail

Export the available summary and supporting reports. Retain the date range, filters, and notes on any incomplete information.

Check your result

The view includes both revenue and costs for the same period, with missing inputs clearly identified.

If you need help

If a P&L option is not available in your release, use the export workflow or ask support which report is supported. A revenue report by itself is not a complete P&L.
