Reconcile collections and recorded credit revenue

A clear collection record separates what you expected from what you actually collected. Keep cash, recorded credit revenue, and payouts distinct so the same money is not counted twice.

Before you begin

  • Collection dates, machine IDs, and actual cash counted.
  • Relevant meter records, credit records, and commission agreements.

Step by step

  1. Match the period

Confirm that the machine record, collection, and external payment records cover comparable periods. Note any timing differences.

  2. Record the actual cash

Enter the amount counted rather than changing it to match an expectation. Keep a note of any variance and investigate its cause.

  3. Check credit records

Compare recorded cashless revenue with the relevant processor report. Fees and payout timing can make deposits differ from sales.

  4. Review commissions

Confirm that the agreed commission basis and rate are applied to the intended revenue and period. Review exceptions with the appropriate person.

  5. Close with an explanation

Resolve duplicated or missing entries where possible. Retain a note for unresolved differences and export the detail needed for review.

Check your result

The route record explains actual collections, recorded credit revenue, and outstanding differences.

If you need help

Include the relevant period, report type, and a redacted example when reporting a mismatch. Never include full payment card information.
